Data import

Bring your existing customers into WRMS Pro from a spreadsheet or contacts file, or move over from Invoice Ninja or LubeLog.

Audience:Workshop OwnerAdministrator

You do not have to type your customer list in by hand. WRMS Pro can read a customer file, spot people you already have, and let you decide what to do with each one.

Vehicles, stock and job history cannot be imported from a spreadsheet. Add vehicles as customers come in, or ask WRMS Pro support about moving larger histories.

Import customers from a file

Prepare the file

Put one customer per row with a header row. Use clear column names such as Name, Email, Phone, Company and Address. Every customer needs a name.

Upload it

Open Customers, select Import, then drag the file in or choose Browse Files. WRMS Pro shows how many customers it found and previews the columns.

Deal with duplicates

WRMS Pro checks for customers you already have. For each match, choose:

  • Skip — leave the existing customer alone and ignore the row;
  • Merge — update the existing customer from the file;
  • New — create a separate customer anyway.

Use Skip All or Merge All to decide for every duplicate at once.

Import

Select Import to finish. The summary shows how many customers were created, merged and skipped.

Moving from Invoice Ninja or LubeLog

Both importers add records alongside what you already have; nothing is deleted. Files up to 200 MB are supported.

In Invoice Ninja, go to Settings > Import | Export and select Export to download a zip file.
In WRMS Pro, open Settings → Data and find Import from Invoice Ninja.
Upload the zip file and wait for Invoice Ninja Import Complete.

Tip

Before importing everything, import a small file first and check a handful of records to make sure the fields came across the way you expect.

Who can import

Importing customers needs permission to create customers. Settings imports need Settings → Edit.
