Data management

Download a backup of your workshop's data, restore from a backup, and bring data in from other systems.

Audience:Workshop OwnerAdministrator

Settings → Data lets you take your own copy of your workshop's data, and restore it later.

Download a backup

Open Settings → Data and go to Export Data.

Under Include in backup, choose what to include (or Select All):

Settings, Customers, Vehicles & Service Records, Quotes, Inventory, Technicians, Inspections, Audit Logs, Messages (SMS, WhatsApp and Telegram), Scheduled Messages, Notifications, Custom Fields and Uploaded Files (images, attachments, logo).

Select Download Backup. A zip file downloads to your computer.

Including uploaded files makes the backup much larger and slower to produce. For a quick copy of your records, leave Uploaded Files out.

Store backups somewhere safe: they contain your customers' personal details.

Restore from a backup

Restoring replaces everything

Importing a backup replaces all existing data in this workshop with the contents of the file. Anything created since the backup was taken is lost. Download a fresh backup first, so you can go back if needed.

Open Settings → Data and go to Import Data.
Choose the backup file. Both .zip (current format) and older .json backups are accepted.
Select Upload & Restore and confirm.

Import from other systems

Invoice Ninja and LubeLog imports add records alongside your existing data instead of replacing it. See Data import.

Removing sample data

If you started with sample data, remove it from the Sample data card on the dashboard. See First steps checklist.

Permissions

Backups and restores need Settings → Edit. Because a restore replaces all data, keep this permission to Owners and Admins.
