Custom fields

Add your own fields to work orders and quotes — such as a fleet number, an insurance claim number or a job source — and show them on documents.

Custom fields let you record information WRMS Pro does not have a field for.

When to use it

  • Insurance jobs that need a claim number.
  • Fleet customers who want their own vehicle or cost-centre number on the invoice.
  • Tracking where a job came from (walk-in, phone, website).

Add a custom field

Open Settings → Invoice, choose the Custom Fields tab and select Add Field.
Enter a Label — what people see, for example Claim number.
Enter a Field Name (ID) using lowercase letters, numbers and underscores, for example claim_number.
Choose the Field Type: Text, Number, Date, Select (Dropdown), Checkbox or Text Area. For a dropdown, enter the Options (comma-separated).
Choose the Entity Type: Service Record (work orders) or Quote.
Tick Required if it must be filled in, and leave Active on.
Select Create.

The field appears on every work order or quote.

See how documents look

Use the Layout tab and its Preview in Settings → Invoice to check how your invoices and quotes look. See Invoice settings.

Change or remove a field

  • Edit to rename it or change options.
  • Untick Active to hide it from new records without losing the values already entered.
  • Delete removes the field and every value saved in it. This cannot be undone.

Permissions

Managing custom fields needs Settings → Edit.
