Import problems
Fixes for customer files that will not import, duplicates, and backup restores or migrations that do not go as expected.
"No customer data found in file"
Likely causes
- The file has no header row, or the columns are not recognisable.
- The file is an Excel workbook rather than CSV.
How to fix it
Save the spreadsheet as CSV, with a first row of column names such as Name, Email, Phone, Company, Address. Make sure every row has a name.
Customers were duplicated
Likely causes
Duplicates were imported as New, or the existing records were spelled differently so they were not matched.
How to fix it
Delete the extra records (select them and use Delete). Next time, review the duplicate list and choose Skip or Merge.
Phone numbers or text look wrong after importing
Likely causes
- Leading zeros or
+signs were removed by the spreadsheet. - The file was not saved as UTF-8, so accented characters are garbled.
How to fix it
Format the phone column as text before exporting, include the +61 country code, and save as CSV UTF-8.
Restoring a backup did not bring back what I expected
Likely causes
- The backup was made without some categories selected.
- Restoring replaces all data with the backup's contents, so anything created after the backup is gone.
How to fix it
Restore a different backup that includes what you need. Always download a fresh backup before restoring.
Invoice Ninja or LubeLog import fails
Check this first
- The file is the zip export from that system, not a single spreadsheet.
- It is under 200 MB.

Send support the file name, its size, the time, and the exact message. Do not email the file itself unless support asks for it, as it contains customer data.
