Access and permissions
Fixes for "technician cannot see the job", missing menu items, pages that say you do not have access, and staff who can see too much.
A technician cannot see a job
Problem
The job is on the board, but the technician cannot find or open it.
Likely causes
- Their role lacks Work Orders → View (and Services → View).
- They are looking in a different workshop.
- The job is not assigned to their technician, so it is not in My Active Jobs.
Check this first
In Settings → Roles, open their role and look at Work Orders, Services and Work Board.
How to fix it
Give the role View (and Edit, if they update jobs) for Work Orders, Services and Work Board. Changes apply on their next action — they do not need to sign out.
A menu item is missing
Likely causes
- The role lacks View for that area. Some menu items depend on another area: Messages needs Customers → View; Reminders needs Vehicles → View; Calendar needs Work Orders → View; Audit Log needs Settings → View.
- The feature is not on: Tire Hotel appears only after it is switched on in Settings → Tire hotel; Reports needs a plan that includes reports.
A page says I do not have permission
Ask an Owner or Admin which permission the page needs and to add it to your role. See Roles and permissions.
A staff member can see (or change) too much
Likely causes
- Their role is Full access (migrated), which existing members were given when roles became required, or a role with Full admin access ticked.
- They are an Admin.
How to fix it
Create a role with only what they need and assign it in Settings → Team. Check everyone in the team list has the role you intend.
A new staff member can sign in but sees nothing
Likely cause
They are a Member with no custom role. A Member needs a role before they can see or change anything.
How to fix it
In Settings → Team, assign them a role. Next time, choose the role when you send the invitation.
Someone who left can still sign in
Signing in does not give access to your workshop once they are removed. Remove them in Settings → Team. See Users.
