Quote approval
How a customer accepts a quote or asks for changes from their phone, and what the workshop does with the answer.
Customers respond to a quote from its share link — no login, no app. Their answer lands in WRMS Pro straight away.
What the customer sees
When they open the link they see your logo and details, the vehicle, every part and labour line with prices, the total including tax, any photos and documents you attached, and the valid-until date. They can download a PDF.
At the bottom are two buttons:
- Accept Quote — the quote becomes Accepted and the customer sees a thank-you message saying you will be in touch.
- Request Changes — the customer types what they want changed and selects Submit Request. The quote becomes Changes Requested.
The shared quote offers Accept Quote and Request Changes. There is no decline button: a customer who does not want the work can say so in a change request, or you can mark the quote Rejected yourself.
The customer can respond only while the quote is Draft or Sent and not past its valid-until date. An expired quote tells the customer to contact you for an updated one.
How you find out
- A notification appears in the bell.
- The dashboard's Quote Responses card lists accepted quotes and change requests.
- The quote's status changes, so it shows in the right filter on Quotes.
What to do next
Open the quote and select Convert to Work Order. Follow Quote to work order.
Accepting on the customer's behalf
If the customer says yes on the phone or at the counter, change the status to Accepted yourself, then convert it. Note who approved it and how in the quote notes.
Permissions
Customers need only the link. Changing a quote's status needs Quotes → Edit.
