Job status updates
Send the customer a short video and message from the workshop floor, and see when they have watched it and what they said.
A status report is a short update on a job: a video of what you found, a title and a message. The customer opens it from a link, and can reply with feedback. It is the quickest way to show a customer a worn part instead of describing it over the phone.
When to use it
- You have found something the customer needs to see before approving extra work.
- The job is taking longer than expected and you want to explain why.
- The car is ready and you want to show what was done.
Create and send a status report
The customer receives a message such as "Hi Sam, we have a status update on your Corolla. View it here: …".
Track it
The Status Reports tab lists every report with its status:
| Status | Meaning |
|---|---|
| Draft | Created, not sent. |
| Published | The link is live. |
| Sent | Sent to the customer. |
| Viewed | The customer has opened it. |
| Expired | The link has passed its expiry date. |
Where the customer has left Feedback, it shows against the report. From the list you can Copy Link, Send again, View or Delete a report.
Tips for good video updates
- Keep it under a minute. Show the problem, then the part number or measurement.
- Film in good light, and say the registration at the start.
- Explain the options and the cost in the message, then follow up with a quote.
Some video files cannot be converted for playback in every browser. If a customer cannot play a video, record it again in your phone's standard video format, or attach photos to the work order instead.
Permissions
Creating and sending status reports needs permission to edit the work order.
