WhatsApp

Chat with customers on WhatsApp from WRMS Pro, including photos of parts, through Twilio or Meta's WhatsApp Cloud API.

WhatsApp lets you message customers on the app most of them already use, send photos of parts, and keep the conversation with the job. WRMS Pro connects to WhatsApp through a provider account that belongs to your workshop.

Before you start

  • A plan that includes WhatsApp.
  • A WhatsApp Business sender number through one of:
    • Twilio — quicker to start with; Twilio handles the Meta side for you.
    • Meta WhatsApp Cloud API — usually cheaper, but you set up the Meta business account yourself.
  • At least one approved message template in your provider account (see The 24-hour rule).
  • Settings → Edit permission.

Set up WhatsApp

Open Settings → Providers → WhatsApp.
Choose your provider and number: select Twilio or Meta, and enter Your WhatsApp number in international format.
Enter your credentials. Each field on screen says where to find the value in your provider's console. Select Save WhatsApp settings — if anything is missing, WRMS Pro lists what is still needed.
Register the webhook: copy the Webhook URL and paste it into your provider so customer messages reach WRMS Pro. Save first, because the provider checks the address against your saved settings.
Set up the Message template (below), turn on Enable WhatsApp, and use Send test to check it works.

The 24-hour rule

WhatsApp only lets businesses send free-text messages within 24 hours of the customer's last message. Outside that window, the first message must use a template that WhatsApp has approved.

In Message template, enter:

  • Template name — the approved template's name (or Content SID for Twilio);
  • Template language — the language code it was approved under, for example en or en_AU;
  • Template values, in order — what fills each numbered blank: customer name, year, make and model, registration, what you type, your shop name or the attached photo.

WRMS Pro then uses the template automatically whenever the 24-hour window has closed. If you schedule a WhatsApp message to go out after the window closes and no template is set up, WRMS Pro warns you that it would fail.

Send messages

  • From Messages or the customer's WhatsApp tab.
  • Attach photos — for example of a worn part — to show the customer what you mean.

Disconnect

Disconnect WhatsApp removes your credentials from WRMS Pro. Your conversation history is kept.
