SMS

Text customers from WRMS Pro and receive their replies, using your own Twilio, Vonage or Telnyx account.

SMS lets you text customers — job updates, share links, reminders — and see their replies in Messages. WRMS Pro sends texts through an SMS provider account that belongs to your workshop.

SMS is sent through your own Twilio, Vonage or Telnyx account, and the provider charges you directly at its own rates.

Before you start

  • A plan that includes SMS.
  • An account with Twilio, Vonage or Telnyx, and a phone number from that provider that can send and receive SMS in Australia.
  • Settings → Edit permission.
  • Customers' mobile numbers stored with the country code, such as +61412345678. Set Default country code to +61 in Settings → Localization so numbers typed without it are handled correctly.

Set up SMS

Open Settings → Providers → SMS.
Turn on Enable SMS messaging and choose your provider.

Enter your provider details:

  • Twilio — Account SID and Auth Token;
  • Vonage and Telnyx — API Key and, where asked, API Secret.
Enter your Phone Number in international format, for example +61400000000.
Copy the Webhook URL shown and paste it into your provider's dashboard as the address for incoming messages. This is how customer replies reach WRMS Pro.
Select Save Settings. Then enter your own mobile under Test Phone Number and select Send Test SMS.

Send an SMS

  • From Messages: New message, pick the customer, type and send.
  • From a customer's SMS tab.
  • From a work order's Notify dialog, or a share or status report dialog, by ticking SMS.

Messages can be up to 1,600 characters. Long messages are sent as several SMS segments, each charged by your provider; the composer shows how many.

Replies

Replies arrive in Messages and on the customer's record, matched by phone number. Replies from unknown numbers appear with a prompt to add the sender as a customer.

Permissions

Setting up SMS needs Settings → Edit. Sending needs access to customers or the job you are sending from.
