Customer notifications

Send customers email and SMS updates from a job, and set up the email account WRMS Pro sends from.

WRMS Pro can tell a customer about their job by email or SMS at the moments that matter, straight from the work order.

Ways to notify a customer

You change a work order's statusWRMS Pro asks whether to Notify the customer. Tick SMS and/or Email and select Send, or Skip.
Any time during the jobSelect Notify at the top of the work order.

The work order's Customer Notifications panel lists what was sent and when, and by which channel.

If the customer has no email or phone number on file, that option is unavailable and says so. Add the details to the customer record.

Email

Use the WRMS Pro sender (default)

Out of the box, emails are sent through the platform's default email service. Nothing to set up.

Send from your own email account

To send from your own domain (for example service@yourworkshop.com.au) so replies come to you:

Open Settings → Providers → Email.
Turn on Use custom email provider.

Choose your provider and enter its details:

Enter the From Email and From Name customers will see.
Select Save Settings, then Send Test Email.

Set up your domain's sending records

Your email provider will ask you to add records (such as SPF and DKIM) to your domain so your mail is trusted. Without them, invoices can land in junk folders. Your provider's help pages explain what to add.

SMS

SMS needs your own SMS provider account. See SMS.

Permissions

Sending a notification needs access to the work order. Changing email settings needs Settings → Edit, and a plan that includes custom email settings.
