Customer → vehicle → work order

Book a new customer's car in at the counter in one pass, without switching between screens.

Audience:Service Advisor

Sam Nguyen walks in with his Corolla. He has never been to Harbour Road Automotive before. This is the fastest way to get him, his car and the job into WRMS Pro while he waits.

You need: Work Orders → Create, Vehicles → Create and Customers → Create.

What you will create
  1. 1Customer: Sam Nguyen
  2. 2Vehicle: Corolla ABC123
  3. 3Work order: 180,000 km service

Start the work order

Open Work Orders and select New Work Order. Search for ABC123 — nothing comes up, because the car is new.

Add the car and the customer together

Select Add New Vehicle. Enter Make Toyota, Model Corolla, Year 2017, License Plate ABC123.

Under Customer, choose Create new customer and enter Sam's Name and Phone. Select Create & Continue.

WRMS Pro creates the customer, the vehicle and an empty work order, and opens it.

Describe the job

  • Title: 180,000 km service.
  • Type: Maintenance.
  • Mileage: read it off the dash now, while the car is in front of you.
  • Technician: choose who will do it, or leave it for the workshop manager.

Select Save.

Schedule it

Under Schedule, pick the date and time and the Work bay, then Assign to Board. The job now appears on the Work Board.

Fill in the rest of Sam's details

Open Customers, find Sam and add his email and address, so you can email the invoice later.

Result

  • Sam is a customer with the next customer number.
  • The Corolla is on his record.
  • The job is Pending, on the board, ready for the technician to start.

Next

If something goes wrong

  • Sam is already a customer — pick him from the Customer list instead of creating a new one, so you do not end up with duplicates.
  • The car is already in WRMS Pro under another owner — open the vehicle and change its customer to Sam. See Vehicles.
