Service reminder workflow
A simple routine that brings every customer back for their next service, using reminders for your team and scheduled messages for the customer.
WRMS Pro does not create customer reminders on its own. With two minutes at the end of each job, you can make sure every customer hears from you when their next service is due.

At the end of each service
Add a reminder to the vehicle
On Sam's Corolla, add a reminder: Next service, due in six months and at 190,000 km. Choose to be notified in the app. It shows on the calendar and dashboard as it approaches.
Schedule the customer message
Right-click the date a week before it is due on the Calendar and choose Schedule message — or use Messages → Scheduled → Schedule message:
- Send by: SMS (or Email, WhatsApp, Telegram);
- Customer: Sam Nguyen;
- Message: "Hi Sam, it's Harbour Road Automotive. Your Corolla is due for its next service in about a week. Reply or call 02 xxxx xxxx to book.";
- Repeat: Once.
Select Schedule.
When the customer books
Create the work order, then open the reminder and mark it complete, so it does not show as overdue.
Once a month
- Open Reminders and the calendar with the Reminders filter on. Anything Overdue is a customer who did not book — give them a call.
- If predicted maintenance is on, check the dashboard's Predicted Maintenance card for vehicles that are due but have no reminder.
Variations
- Registration or safety check due — the same routine with a different message.
- Fleet customers — one repeating scheduled email (Monthly or Yearly) to the fleet manager, instead of one per vehicle.
- WhatsApp — a message sent more than 24 hours after the customer last wrote to you needs an approved template. → WhatsApp
