Sharing documents with customers
Get your workshop ready so every quote, invoice and inspection link your customers receive looks right, reaches them, and can be acted on.
In the current release, customers see their documents through share links rather than a portal they log in to. This tutorial sets up everything those links depend on, then sends a test to yourself.
Looking for customer portal set-up? The logged-in portal is not in the current release. See Customer portal.
Time: 30–45 minutes. You need: Settings → Edit.
Brand it
In Settings → Company, upload your logo and complete your contact details. They appear at the top of every shared page. → Organisation settings
Choose the language customers see
In Settings → Localization, turn on Force this language on customer-facing pages if you want every customer to see English regardless of their phone's language. Set the default country code to +61.
Make emails come from you
In Settings → Providers → Email, connect your own email account so links come from your address and replies reach you. Send a test email. → Customer notifications
Turn on SMS
Most customers open links from a text. Connect your SMS provider in Settings → Providers → SMS and send a test. → SMS
Let customers pay from the link
In Settings → Payment, add your bank details and payment terms, and connect Stripe or PayPal. → Payments
Check what your documents look like
In Settings → Invoice and Settings → Templates, set what prints and how it looks. → Invoice settings
Test it on yourself
Add yourself as a customer with your own mobile and email. Create a small quote, Share it by SMS, open it on your phone and Accept Quote. Convert it, then share the invoice and pay a small amount online if you set that up. Void or delete the test records afterwards.
Checklist
- Logo and contact details correct on the shared page
- Email arrives from your address, not in junk
- SMS arrives and the link opens
- Quote can be accepted from the phone
- Invoice shows bank details and terms
