Opening day in WRMS Pro

A guided first session. Set up Harbour Road Automotive, add the team, book Sam's Corolla in, do the work, invoice it, take payment and set up his next service reminder.

This tutorial takes one real job from an empty account to money in the bank. Do it with a real customer, or with yourself as a test customer and delete the records afterwards.

Time: about an hour. You need: your logo, ABN, labour rate, and the staff email addresses you want to invite.

Part 1 — Set up the workshop

Create the workshop

After confirming your email, name the workshop Harbour Road Automotive and choose Clean Slate. → Workshop setup

Put your details on your paperwork

In Settings → Company, upload the logo and enter the address, phone, email and your ABN as Organization Number. In Settings → Invoice, turn on Organization Number under Visibility on Invoice.

Set GST

In Settings → Tax, turn on Enable Tax, rate 10, label GST, and choose inclusive or exclusive. → GST and tax

Set your labour rate and hours

In Settings → Workshop, enter your Default Labor Rate (per hour) and working hours. In Settings → Localization, set the default country code to +61.

Part 2 — Bring in the team

Create a Technician role

In Settings → Roles, create Technician with View on Dashboard, Vehicles and Customers, and View/Edit on Work Orders, Services, Inspections and Work Board. → Roles and permissions

Invite your staff

In Settings → Team, invite each person. Give technicians the Technician role; give your service advisor a Front desk role or Admin. → Users

Put technicians and hoists on the board

On the Work Board, Add Technician for each technician (link them to their login) and Add work bay for each hoist. → Technicians and work bays

Part 3 — Sam and his Corolla

Add the customer

Customers → Add Customer: Sam Nguyen, mobile +61 4xx xxx xxx, email. Or import your whole list. → Data import

Book the car in

Work Orders → New Work Order. Sam's car is not in WRMS Pro yet, so choose Add New Vehicle: Toyota, Corolla, 2017, ABC123, customer Sam Nguyen. Create & Continue.

Title the job 180,000 km service. Under Schedule, set tomorrow at 8:00–10:00, pick a technician and Hoist 1, then Assign to Board. → Scheduling

Part 4 — Do the work

Start the job

When the car arrives, record the odometer under Mileage and select Start Work. The technician selects Clock on. → Work orders

Add labour

Add a labour line — 180,000 km logbook service, 2.5 hours — or add a labour preset.

Add parts

Add the oil filter and engine oil from inventory. Stock goes down straight away. If you have not set up inventory yet, type the parts in. → Parts on work orders

Found something extra? Quote it

The technician notices worn front pads. Create a quote for the pads, Share it to Sam by SMS, and set the job to Waiting for Approval. When Sam taps Accept Quote, add the pads to the job. → Quote approval

Finish

The technician selects Clock off with Work finished, and the job is set to Completed. Use Notify to tell Sam by SMS that his car is ready.

Part 5 — Invoice and payment

Check and send the invoice

On the work order, check the Invoice Summary, then Share the invoice with Sam, or print the PDF for the counter. → Invoices

Record payment

Sam pays by card at pickup. Record Payment → amount, Card, Save Payment. The balance shows zero. → Payments

Part 6 — Bring Sam back next time

Remind the team

On the Corolla, add a reminder Next service due in six months or at 190,000 km. → Reminders

Remind Sam

Schedule an SMS to Sam for the week before it is due: "Hi Sam, your Corolla is due for its next service. Reply to book." → Service reminder workflow

You're done

The Getting started card on the dashboard should now show every step complete. From here:
